Data we collect

Personal Data

We collect personal data in order to schedule classes, course and events. Typically we will ask for:

  • Contact name
  • Contact number
  • Contact email address.
  • Student name

If required for a particular class, or event such as grading or competition we may also ask for the following:

  • Student age
  • Student gender
  • Student height

Our parent organisation (USKFI) will require a date of birth, a general statement of health and other information such as allergies or injuries for license and insurance purposes.

Personal information will only be used for the purpose stated on the collection form.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Imagery– (Photos & Video)

From time to time we will take photographs and/or video of classes and events such as competitions. If you do not wish to be included in such media, then please make a submission via our contact form. We endeavour to comply with any exemption that is submitted but please note that it is practically impossible to ensure crowded scenes are accurately reviewed for exemptions. If you notice any image or video that includes an exempt person, please let us know via our contact form.

If you upload images/video to our website, or send us images/video via other channels then you should avoid uploading content with embedded location data (EXIF GPS) included where possible.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who can access your data at the Club

Your data can be accessed or shared with the Instructor, Assistant instructors and members of the club admin team (such as the Child Safety Officer) who help to organise or run classes, gradings and events.

Who we share your data with

We do not share personal data with with marketing companies. We do not share your data with 3rd parties for commercial purposes.

Certain types of information such as your IP address may be shared with automated services to aid in spam and bot detection, or to remember you for subsequent visits.

When required, we share personal data with related organisations for a particular event or course. For events such as competitions, gradings and courses we will share personal data with USKFI. USKFI may need to share personal data with the KUGB, WSKA airlines/hotels etc. for the purpose of travel to, and participation in an event.

We may share imagery (Photos or Video) with third parties for promotional purposes.

Photos may be used in flyers or posters for promotional purposes.

Who shares your data with us

From time to time third parties may share your data with us. The following is a list of partners and the data they may share.

USKFI

USKFI may share a students membership status, membership renewal details and selected personal information so that we can determine which students are eligible for training, gradings and events. They may also share contact information for a student’s parent or guardian.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store personal information provided in the signup and in a users profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Contact Details

We will hold details for a parent / guardian and a student, while the student is a member of the club. Some details may be held indefinitely in case a student wishes to return to active training and not lose the progress that they have made. If you wish to have your details removed then please contact the club using our Contact Form.

Class Registration

Data is retained for 6 months so that attendance can be reviewed.

Grading Registration

Data is deleted / destroyed within 1 month of the grading

Course Registration

Course registration is typically handled by our parent organisation (USKFI) – you will need to contact USKFI for their data retention policy.

Competition Registration

LSK’s copy of the data is destroyed within 1 month of the events completion. The organisation running the event (such as USKFI or WSKA) may retain the data for a longer or shorter period. You will need to contact the relevant 3rd party for their data retention policy.

Imagery (Photos & Video)

Generally, we retain imagery indefinitely.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
